Summary: This position coordinates logistics for LDI custom & open-enrollment programs, provides assistance/support for open-enrollment EMP, MTI and SHRM programs and offers help with other ECE events, as needed. This position description is evolving and subject to change due to departmental reorganization efforts. However, should any additional changes be required, workload will remain equitable.
Reports to: Director, Leadership Development Institute (LDI)
Shift Hours: The standard hours for this position are 9:30 a.m. to 6:00 p.m. (includes 1hour break for lunch). Due to the nature of the job; however, flex time may be necessary when team coordinator is on vacation or when managing concurrent programs on campus.
Responsibilities:
Logistics'Daily duties include but not limited to the following:
• meets with instructors & client managers to determine program needs for both custom and open-enrollment programs;
• consults with off-site client contacts regarding program logistics;
• coordinates room reservation/catering/materials arrangements and logistical support for on-campus open-enrollment and custom programs;
• coordinates banquet catering and daily program transportation with staff at the Renaissance Vinoy Resort and other host hotels;
• coordinates room/catering/materials arrangements for some internal ECE meetings, retreats, and training sessions;
• serves as technology support for iPad-based open-enrollment programs (must be proficient with iPad technology and syncing of documents/reports between 24 iPads and 1 administrative laptop prior to each program);
• serves as technical liaison for the Logistics & Testing team with regards to computers and equipment used in programs;
• prepares, assembles, and ships program materials;
• prepares PowerPoint presentations for programs;
• prepares and orders liquor for LDI on campus programs;
• gathers information for Director of Program Administration that is necessary for creation of profit & loss reports for all custom programs (i.e., shipping costs, material costs, late assessment fees, additional scoring fees, final participant count, various expenses, etc.);
• assists with AV needs/concerns/issues for Division of Executive and Continuing Education;
• provides and prepares logistics backup materials in case of natural disaster;
• assists LDI with and MTI, EMP and SHRM open-enrollment programs & Client Relations Marketing events (when workload permits).

Testing'Provides back-up assessment support (as needed) including but not limited to the following:
• when the Testing Coordinator is working at full capacity, this person will provide as-needed assistance with printing and binding of assessment reports for programs (and/or oversee student worker to complete tasks);
• takes data from testing coordinator and prepares charts/graphs of data in PowerPoint for instructor use;
• assists with shipping of testing results for off-site programs.
General Requirements:
• High School Diploma (minimum 2-years college experience highly preferred);
• 1-2 years-experience with administrative, support or clerical background preferred;
• Willingness to work in a fast-paced, team environment (working both under supervision and independently);
• Patient and able to maintain a positive attitude and good-natured demeanor, especially with clients and program participants, during stressful situations.
• Ability to flex schedule according to current program needs (able to work early morning hours and/or later afternoon/early evening and occasional weekends for program setup/break down);
• Proficient computer skills (must be highly proficient in all Microsoft Office products – Word, Excel, Access and PowerPoint);
• Proficient and comfortable with Apple iPad technology (i.e., structure and framework for syncing multiple iPads to 1 laptop) as well as an ability to troubleshoot "on the spot" in high-stakes situations;
• Strong familiarity with A/V equipment such as LCD overheads, video cameras, TV's, laptop connections, etc.;
• Easily learns new software systems and assists in training others on the team (i.e., future Salesforce cloud database)
• Able to multi-task several projects/programs at the same time and not miss details;
• Meticulous attention to details, organized and resourceful (instinctively goes looking for solutions);
• Ethical, reliable, and trustworthy;
• Strong interpersonal and communications skills;
• When student help is not available, must be willing to do tasks such as binding reports, shredding confidential documents, evening room turn-around for on-campus programs, prepping program materials such as DVR's, pencils, notecards and participant welcome packets;
• Overall willingness to do whatever it takes to make our programs a success with a positive/optimistic attitude.
