Position Summary
Provides administrative assistance to the collegial chair and the faculty of the Natural Sciences Collegium. Serves as the receptionist, office manager, supervisor of student workers, and budget manager for the collegium and CSL. This position requires strong skills in written and oral communication, office organization, spreadsheet, and word processing.  Excellent interpersonal skills and the ability to handle diverse assignments in a fast-paced environment are necessary.

Essential Functions (other non-essential duties may be assigned)

  1. Tracks budget and expenditures for Collegium including discipline lines, grants, and restricted funds; submits financial transactions in Banner; records, codes, and reconciles monthly purchase card expenditures.
  2. Processes reimbursements, invoice payments, account transfers, and cash advances.
  3. Serves as receptionist for office and manage daily tasks including mail distribution, photocopying, answering phones, running errands, ordering and stocking supplies, filing, updating Emergency Preparedness Plan, and other tasks to support professors' course delivery.
  4. Coordinates course descriptions for new catalogues, bookstore orders, course offerings, website updates, collegial bulletin boards, and occasional collegial events and lunches.
  5. Assists with faculty search process including schedules interviews with candidates, assisting with transportation and lodging arrangements, tracking application materials, and communicating with candidates.
  6. Oversees usage of NAS equipment including computers and videos, maintain a sign-out/return system.
  7. Prepares correspondence, manuscripts and exams to support the educational program including proofreading, editing, copying, and distributing as necessary.
  8. Records and maintains files for current and previous course offerings and syllabi.
  9. Assists Collegial Chair and faculty with administrative duties including file maintenance, material production, mentor assignments, class schedules and master list, office hours, calendar of events, meetings, etc.
  10. Hire, train, and supervise student workers.

Required Qualifications (knowledge, skills, abilities, and certifications needed upon entry into the position)

  • Knowledge of Microsoft Word, Excel, Adobe Pro and Google Suite.
  • Knowledge of basic bookkeeping and budget management principles.
  • Skills in verbal and written communication.
  • Knowledge of office equipment including printers, scanners, computers, and telephone.
  • Ability to work and communicate effectively with faculty, staff, students and the general public.
  • Skills in completing assignments accurately and with attention to detail.
  • Ability to maintain confidentiality.

Physical Requirements/Working Conditions (include travel and after-hours work requirements)

  • Prolonged stationary periods requiring using a computer and communicating with others in person or via email, video conferencing, chat applications, and/or telephone.
  • Constantly operates a computer and other office productivity equipment including calculator, copy machine, and filing systems.
  • Occasionally required to move and transport items and supplies weighing up to 25 pounds.
  • Occasional after-hours work required for public events.

Education and Experience
High School diploma or equivalency, at least two (2) years of experience in an administrative support role required.

Employment will require a successful background check.
