Position Summary
The program administrator for Foundations administers multiple functions of the General Education Program, including: planning and coordination of training workshops, speaking engagements, and public events; administrating course management software for up to 50 simultaneous class sections; budgeting for multiple separate programs; coordinating educational assessment programs using various software platforms. The program administrator manages a public events calendar and scheduling process that may include up to 140 events per year. The program administrator is a problem-solver, a data organizer, and an experienced event planner and logistics coordinator who possesses exceptional communication skills and is able to handle multiple simultaneous projects with tight deadlines. The program administrator takes the initiative to solve inefficiencies in workflow and engages in continuing, self-guided training to learn software capabilities to improve the organization of data archives and to automate procedures for course delivery and assessment.

Essential Functions (other non-essential duties may be assigned)

  • Manages approval process, budgeting, and selected logistics for campus-wide events, assists event sponsors as needed and communicates with external vendors.
  • Manages the course delivery platform (Moodle) for multiple sections of common Core courses.
  • Administrates educational assessment programs using various software platforms and processes.
  • Collates and organizes data. 
  • Works with publishers and publishing agents to negotiate contracts. 
  • Writes detailed instructions for faculty on course delivery and use of software tools.
  • Organizes training workshops, coordinates speakers, and publishes instructional materials.

Required Qualifications

  • Excellent oral and written communication skills.
  • Ability to successfully initiate, track, and manage multiple detail-oriented projects simultaneously.
  • Knowledge of MS Office Suite, including Excel with macros and pivot tables, and Adobe tools.
  • Knowledge of G-suite applications and ability to design forms, shared drives, and documents to collect data, facilitate workflow, and archive files.
  • Knowledge of at least one instructional technology platform (Moodle, Blackboard, Canvas).
  • Ability to pay close attention to detail.
  • Ability to handle confidential information with sensitivity and discretion.

Physical Requirements/Working Conditions (include travel and after-hours work requirements)

  • Frequently required to remain stationary and perform work on a computer.
  • Frequently required to communicate with others in person and via email, video conferencing, chat applications, and/or telephone.
  • Occasionally required to perform after-hours works (nights, weekends) for departmental events.
  • Occasionally required to move and transport objects weighing up to 25 pounds.

Education and Experience (minimum combined education and experience needed for position)
Bachelor's Degree and at least 2 years of experience in administrative duties; the equivalent combination of education and experience may be substituted in lieu of a degree.
